Bespoke CRM vs off-the-shelf: which is right for your business?
Big-name CRMs are quick to start with, but your team ends up working the software’s way. Here is how to tell when a CRM built around your business is worth it.
Where off-the-shelf CRMs shine
Off-the-shelf CRMs are a good choice for plenty of businesses. You can sign up today, import your contacts and start tracking sales by the afternoon. If your process is standard — leads come in, you follow up, you win or lose the deal — a well-known CRM will do that job well, and you benefit from years of polish and a big library of add-ons.
If you are a small team with a simple sales pipeline, start there. Nobody should pay for a bespoke build to replace a contact list.
Where they start to hurt
Your process doesn’t fit. Most businesses are not just a sales pipeline. You have jobs, visits, quotes, certificates, stock or bookings, each with its own steps. Off-the-shelf tools make you bend those steps to fit their fields, so your team ends up keeping the real information in spreadsheets alongside the CRM.
Per-user fees. Prices that look small for three people grow quickly for fifteen, and the features you actually need are often on the higher tiers. Over three to five years the subscription can easily cost more than owning a system outright.
Paid add-ons for everything. Connecting to your accounts software, sending texts or adding a customer portal is often another subscription on top.
You never own it. Your data lives inside their platform, in their structure. Getting it out in a useful form, or moving to something else, is harder than it should be.
What a bespoke CRM actually means
A bespoke CRM is built around how your business already works. The screens follow your process, the fields are the ones your team uses, and it connects to the tools you rely on, such as Xero, Outlook or Stripe. Your engineers, office staff and customers can each have their own login and only see what they need.
It used to mean six months and a five-figure invoice. It doesn’t have to now. A focused studio can build a proper business system in a matter of weeks; ours start at £4,995 for a Business System and £7,995 with a customer portal, at a fixed price agreed before we start, and the code and the data are yours.
A simple way to decide
Ask yourself four questions:
- Does your team keep important information outside the CRM because it doesn’t fit?
- Will you have more than about ten people using it within two years?
- Do you need customers or field staff to log in, not just the office?
- Do you need it to connect properly to the tools you already use?
If you answer yes to two or more, a bespoke CRM is likely to pay for itself. If you answer no to all four, stay with an off-the-shelf tool and spend the money elsewhere.
